1. Who is responsible for your information

2. Information collected
Sidhu Fitness may collect your name, contact details, location, coaching interests, goals, availability, training history and the information you choose to include in an enquiry. If you become a client, we may also collect booking, payment, attendance, programme, check-in, progress, measurement, photograph and communication records.
Health information provided for exercise safety is sensitive special-category data. Please do not put detailed medical information in the initial website enquiry. Where it is needed, we will request it separately and explain how it will be handled.
3. How information reaches us
The website consultation form sends the details you choose to provide through FormSubmit, a form-delivery provider, to the Sidhu Fitness business email. The email address you enter is included so Sidhu Fitness can reply. You may instead choose to contact us by WhatsApp, telephone, social media or email. We may also receive information when you contact us in person, through a scheduling or payment provider, or during coaching.
4. Why information is used and the lawful bases
We use information to respond to enquiries and take requested steps before a contract; to confirm and deliver coaching under a contract; to manage bookings, payments, attendance, safety and client support; to keep tax, accounting and other records required by law; and for legitimate interests such as running, protecting and improving the business and dealing with complaints or legal claims.
We rely on consent where the law requires it, including for optional direct marketing and separate permission to use a testimonial, photograph or video. Where health information is necessary for safe coaching, we identify and document both an applicable lawful basis and an additional condition for special-category data before using it. Consent can be withdrawn at any time, although this does not affect earlier lawful use.
5. Sharing and service providers
We do not sell personal information. It may be shared only as needed with trusted providers for website hosting, form delivery (currently FormSubmit), communications, WhatsApp, email, scheduling, payments, accounting and coaching administration; with professional advisers; or with regulators, courts and public authorities where disclosure is lawful or required. Each external provider is responsible for its own service and privacy practices where it acts as a separate controller.
6. International processing
Some technology and communications providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we use a provider or arrangement that supplies an appropriate lawful safeguard.
7. Retention and security
Enquiries that do not become clients are normally reviewed and deleted within 12 months. Contract, payment, invoice and core client administration records are normally retained for up to six years after the relationship ends where needed for tax, accounting, contract or legal purposes. Coaching, progress and health records are reviewed when coaching ends and kept only for as long as they remain necessary for safety, service, insurance or legal reasons. A longer or shorter period may apply where law, a dispute or an individual's valid request requires it.
Reasonable organisational and technical safeguards are used to protect information. No internet or messaging service can be guaranteed completely secure, so avoid sending unnecessary sensitive details through the initial enquiry.
8. Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to the use of your information, and to receive certain information in a portable form. You may also withdraw consent where consent is the basis used. Contact us using the details above. We may need to verify your identity before acting on a request.
You may complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint/, although we would appreciate the opportunity to address the concern first.
9. Website technology and external links
This website uses technology necessary to deliver and protect its pages. It does not currently set Sidhu Fitness advertising cookies. If optional analytics or marketing cookies are introduced, the notice and consent controls will be updated first. Links to WhatsApp, Instagram, TikTok, LinkedIn, Google and other external services take you to platforms with their own privacy information.
